World Robot Conference 2026 is underway in Beijing from August 19 to 23, and August 20 has been designated as the event’s Procurement Day. According to the Beijing Municipal Government, the day is intended to center on procurement negotiations, supply-chain matchmaking and application-driven business discussions. For overseas buyers, that makes the event more useful than a general technology showcase—but only if meetings are structured around comparable requirements and followed by proper supplier verification.
Official Beijing reporting says the 2026 World Robot Expo is expected to bring together more than 300 exhibitors, over 2,000 exhibits and more than 150 debut products, with more than 60 concurrent activities. Those are organizer and official event figures, not audited final attendance totals. The scale is useful because buyers can see multiple robot types, components and application scenarios in one place, but it also creates a practical problem: a busy exhibition makes it easy to collect impressive demonstrations and difficult to leave with evidence that supports an actual sourcing decision.
For buyers attending Procurement Day—or following up with exhibitors afterward—the goal should be to turn short conversations into a structured shortlist that can survive technical, commercial and supplier due diligence.
Why Procurement Day matters to overseas buyers
The World Robot Conference has introduced themed days for the first time in 2026. August 19 is Release Day, August 20 is Procurement Day, August 21 is Developer Day, and August 22–23 are Public Open Days. Beijing’s official event information says Procurement Day is specifically intended to connect demand with supply through procurement discussions and upstream/downstream industry matching.
That structure is particularly relevant to buyers because robotics procurement is rarely a simple product-comparison exercise. A robot may perform well in a demonstration yet still be unsuitable for the buyer’s actual environment because of integration requirements, payload limits, cycle-time assumptions, safety controls, software dependencies, maintenance needs or after-sales support.
A good sourcing meeting therefore needs to establish what is proven, what is configurable, what is still under development and what will require engineering work after purchase.
1. Start with the use case, not the robot category
Before comparing exhibitors, define the task the robot must perform in operational terms. The more specific the use case, the easier it is to compare suppliers on the same basis.
For an industrial or logistics application, useful questions may include:
- What task is being automated?
- What payload and working range are required?
- What cycle time or throughput is expected?
- What level of positioning accuracy or repeatability is necessary?
- What floor space, power, network or environmental conditions are available?
- Does the robot need machine vision, force sensing, autonomous navigation or other perception capabilities?
- What interfaces must connect with existing production, warehouse or IT systems?
- What safety requirements apply in the deployment environment?
These questions help prevent a common trade-show problem: comparing products that look similar but were designed for different operating conditions.
2. Use one comparison sheet for every supplier
Procurement Day is most valuable when every meeting produces comparable information. Instead of collecting brochures and informal notes, use a standard comparison sheet for all shortlisted suppliers.
At minimum, record:
- model and configuration discussed;
- intended application;
- core performance specifications relevant to the use case;
- included and optional components;
- software, controller and integration requirements;
- quoted price and quotation assumptions;
- minimum order or project size where applicable;
- expected lead time;
- warranty and after-sales terms;
- installation, commissioning and training scope;
- spare-parts availability;
- supplier contact and follow-up owner;
- claims that require later verification.
This turns the exhibition from a product-discovery exercise into the first stage of a sourcing process.
3. Separate demonstration performance from deployment evidence
Robotics exhibitions are designed to show products under controlled conditions. A smooth demonstration is useful evidence that a system can perform a task, but it does not prove that it can meet the buyer’s requirements over months of production.
Ask suppliers what evidence they can provide beyond the booth demonstration. Depending on the product, useful evidence may include customer application cases, test records, acceptance criteria, reliability data, maintenance schedules, software documentation, safety information, component specifications or video of the system operating in a comparable production environment.
If a supplier claims that its system uses advanced AI, machine vision or autonomous decision-making, clarify what those capabilities actually do in the proposed application. Avoid treating broad terms such as “AI-powered,” “embodied intelligence” or “smart robot” as specifications. The important question is whether the capability improves a measurable requirement such as recognition accuracy, changeover time, path planning, defect detection, handling flexibility or recovery from variation.
4. Clarify what is standard and what is a custom engineering project
Two quotations can look comparable while covering very different scopes. One supplier may quote a standard robot body; another may include end-of-arm tooling, sensors, software, guarding, installation and commissioning.
During the meeting, separate the offer into layers:
- standard robot platform;
- end effector or tooling;
- vision and sensing;
- controller and software;
- fixtures and peripheral equipment;
- safety system;
- integration engineering;
- installation and commissioning;
- training;
- ongoing software or service fees.
This matters because the purchase price of the robot itself may be only one part of the total deployment cost. A lower equipment price can become less attractive if integration work, software licenses, imported components or maintenance support are excluded.
5. Ask how the supplier will support the system after delivery
For overseas buyers, after-sales support can be as important as the hardware. Clarify who will provide installation, troubleshooting and spare parts in the destination market.
Useful questions include:
- Is overseas installation available directly or through a partner?
- What remote diagnostic support is provided?
- Which parts are considered critical spares?
- What is the normal spare-parts lead time?
- Are software updates included?
- Can the buyer’s own technicians receive maintenance training?
- What happens if a key component is discontinued?
- Which support commitments will appear in the contract rather than remain verbal?
For systems that are still relatively new, buyers should pay particular attention to the supplier’s installed base and ability to support field problems after the initial deployment.
6. Check the supplier behind the product
A successful technical meeting does not replace supplier due diligence. Before placing a deposit or signing a project contract, verify the business entity that will receive the order and payment.
Depending on the transaction, checks can include the supplier’s legal company name, registration status, registered address, business scope, contract entity, bank-account beneficiary, relevant certifications, intellectual-property claims, manufacturing location and whether the factory shown during sales discussions is actually operated by the contracting supplier.
For robotics projects, it can also be useful to understand which core components are designed or manufactured in-house and which are purchased from third parties. This does not automatically make an outsourced component a problem, but it can affect lead time, serviceability, pricing and continuity of supply.
7. Turn the post-show follow-up into a verification stage
The most important sourcing work often begins after the exhibition. Once the list has been narrowed, send the same written requirement to each serious candidate and ask for an updated quotation against that requirement.
A practical follow-up sequence is:
1. Consolidate notes within 24 hours while meeting details are still fresh.
2. Remove suppliers that clearly do not meet the use case or commercial constraints.
3. Send shortlisted suppliers the same technical requirement and quotation template.
4. Identify unresolved claims and documentation gaps.
5. Hold a technical follow-up meeting for the strongest candidates.
6. Verify the supplier entity and relevant public records.
7. Where the project value or risk justifies it, arrange a factory visit or supplier audit.
8. Define acceptance criteria before the purchase contract is finalized.
For customized systems, consider using a staged acceptance process. The exact structure depends on the project, but buyers should avoid leaving important performance expectations as informal sales promises.
A buyer checklist for WRC 2026 Procurement Day
Before the meeting:
- define the application and must-have performance requirements;
- shortlist exhibitors by actual application relevance;
- prepare one comparison sheet;
- decide which claims will require evidence;
- identify the commercial information needed for a first comparison.
During the meeting:
- discuss the real use case, not only the booth product;
- record exact model/configuration details;
- distinguish standard functions from customization;
- ask what is included in the quotation;
- clarify integration and after-sales responsibilities;
- collect evidence for important technical claims;
- agree on the next follow-up action and responsible contact.
After the meeting:
- standardize quotations before comparing prices;
- verify supplier and contract entities;
- request missing technical documents;
- conduct deeper technical calls with the shortlist;
- arrange factory or supplier checks where appropriate;
- define acceptance criteria and responsibilities before payment.
What buyers should take away from WRC 2026
The 2026 World Robot Conference is unusually sourcing-oriented because Procurement Day explicitly creates a venue for procurement talks and supply-chain matching. The event also provides access to a broad range of robotics applications, from manufacturing and warehouse logistics to retail, healthcare, safety and emergency-response scenarios, according to official Beijing event information.
But the number of exhibitors and new products makes disciplined comparison more important, not less. A buyer should leave the event with a smaller set of suppliers, clearer evidence requirements and a defined verification plan—not simply a larger collection of brochures.
For overseas companies sourcing robotics from China, local follow-up can be especially useful when technical discussions need to be confirmed with the supplier, manufacturing sites need to be checked, documents need to be collected in Chinese, or several suppliers need to be compared using the same requirements. The exhibition can open the conversation; the sourcing decision should be made on verified evidence.
